Our client is a leading event management organization specializing in planning and executing large-scale conferences, trade shows, and corporate events. With years of experience in the industry, they have built a strong reputation for delivering seamless and impactful events that cater to diverse industries, including technology, healthcare, finance, and consumer goods.

Their expertise lies in end-to-end event planning, including venue selection, vendor coordination, sponsorship management, attendee engagement, and digital event solutions. The organization is known for its ability to create immersive event experiences, ensuring high attendee satisfaction and valuable networking opportunities for participants.

Challenge –  

  • Manual Event Registration and Data Management: The client struggled with manual data entry and tracking of event registrations, leading to errors, duplicate records, and a lack of visibility into registration progress and attendee preferences.
  • Inefficient Mobile Check-In Process: Due to the lack of integration with mobile platforms, attendees had to wait in long lines during check-in, resulting in frustration and delayed event starts.
  • Limited Integration Between Systems: The client used multiple third-party systems to handle different aspects of their events, such as registration, ticketing, and attendee management. These systems were not integrated with Salesforce, leading to data discrepancies and operational inefficiencies.
  • Lack of Real-Time Reporting and Analytics: There was no centralized system for tracking KPIs, event performance metrics, or attendee engagement in real-time, limiting their ability to make quick adjustments during events. Additionally, the absence of automated post-event reporting made it difficult to analyze attendee behavior, feedback, and event ROI, hindering the evaluation of event success and the gathering of actionable insights for future events.

Reason for Collaboration:

Since the client faced several challenges in managing the complexities of event registration, mobile check-ins, event scheduling, and conference logistics. With a growing demand for better event experiences and more streamlined operations, they sought a solution to consolidate their event management processes into a unified platform. They turned to us for our AppExchange Development Services, to manage their events, from planning to execution, and enhance their efficiency.

Solutions –  

To address these issues, we implemented a solution centered around Salesforce, including Salesforce AppExchange Development Services, to customize and integrate the system based on the client’s needs:

  • Seamless Event Registration and Data Integration: We developed a Salesforce AppExchange application tailored for seamless event registration and data integration. This application automates the registration process, synchronizes data, and centralizes attendee management, effectively eliminating manual data entry, ensuring accuracy, and reducing errors in event planning. By leveraging this custom app, we provided a plug-and-play solution that saved both time and development resources, enhancing overall operational efficiency.

  • Mobile Check-In and Attendee Engagement: ​To implement the mobile check-in functionality, we utilized Salesforce Location Services API for real-time location updates and Salesforce Mobile SDK for building the mobile app experience. The Location Services API enables us to access attendees’ current locations and receive location updates, essential for efficient check-in processes and attendee tracking.
    Moreover, we incorporated Salesforce Event Management tools and Push Notifications to allow seamless real-time communication with attendees, enhancing their engagement with event updates, alerts, and personalized interactions. By leveraging these APIs and tools, we developed a solution that not only streamlines check-ins but also enhances overall attendee engagement through location-based features and real-time updates.

  • Customizable Event Pages and Schedules: Leveraging Salesforce AppExchange solutions, we customized interactive event pages and schedules to deliver a seamless and engaging experience for attendees. Through these AppExchange tools, attendees could easily access event agendas, speaker details, and networking opportunities, enhancing their overall event experience. This integration facilitated real-time updates and streamlined communication, ensuring attendees were always informed about important event changes and developments.
  • Integration with Marketing Cloud for Personalized Communication: Our team leveraged Salesforce Marketing Cloud to create automated email campaigns and notifications for event reminders, registration confirmations, and post-event follow-ups. These personalized interactions helped improve attendee satisfaction and participation.

  • Real-Time Data, Reporting, and Post-Event Analytics: We implemented customized real-time dashboards within Salesforce, tailored specifically for the client’s needs. These dashboards were designed to track key performance indicators (KPIs) such as ticket sales, attendee demographics, and engagement levels during the event. To achieve this, we leveraged Salesforce’s Analytics Cloud (Tableau CRM), which allowed for in-depth data visualization and real-time reporting.

The dashboards utilized Salesforce’s standard reporting features and were enhanced using custom Apex code for deeper data integration, ensuring that the metrics were directly aligned with the client’s event objectives. This customization enabled event organizers to make data-driven decisions and adjust event strategies in real-time.
