Reason for collaboration
Strategic Legal Practices (SLP) already used Salesforce and custom integrations implemented by a previous partner. However, as the firm’s caseload grew, client information, manufacturer details, case records, and negotiation data became spread across multiple systems and workflows, making it difficult for teams to access information efficiently and manage cases seamlessly. Cyntexa collaborated with SLP to enhance the existing Salesforce org, working alongside the managed packages and custom integrations, and building the capabilities needed to streamline operations and improve case management.
Challenges
1. Lack of centralized system for case-critical data
SLP faced the challenge of maintaining details of its client data, manufacturer details, case details, and negotiation records without a CRM to unify them. This absence forced their staff to piece together information from scattered sources for every case, slowing down day-to-day legal work and increasing the risk of inconsistent case handling.
2. Fragmented lead capture and inconsistent intake
SLP struggled with leads coming through multiple channels with no consolidated pipeline to capture them. Combined with manual effort to organize and route incoming inquiries, this led to slower response times and inconsistent case qualification, directly affecting how quickly new clients are onboarded.
3. Limited case lifecycle visibility and slow document collection
SLP found it difficult to track cases as they move through investigation, negotiation, and settlement without structured lifecycle tracking. This lack of visibility, paired with manual follow-ups for case-related and client documentation, added delays to case preparation and created uncertainty around where any given case stands.
4. Limited workload visibility and no centralized reporting
SLP’s management lacked a consolidated view of how cases were distributed, with case status and performance data scattered rather than unified into a single reporting layer. This gap limited leadership’s ability to balance workloads and make informed operational decisions.
5. Inefficient document signing process
SLP was unable to offer their clients a way to sign documents directly through its Experience Portal, forcing reliance on email-based signing. This dependency slowed down the signing process and made it easier for time-sensitive documents to be missed or delayed.
6. Disconnected calling with no unified visibility
SLP’s teams handled inbound and outbound calls without a system connecting call activity directly to Salesforce, leaving management with no consolidated way to track team call volumes, agent availability, or tie conversations back to the relevant customer record.

We implemented Salesforce CRM alongside SLP’s existing org, layering automated workflows, embedded signing, and real-time reporting on top to modernize day-to-day case operations.
1. Centralized case data in Salesforce CRM
We configured Salesforce to bring client data, manufacturer details, case details, and negotiation records into a single system tied to each case, working within SLP’s existing org rather than rebuilding from scratch.
2. Automated lead capture and intake workflows
We set up automated lead capture across intake channels and built qualification workflows that screen Lemon Law eligibility consistently, feeding qualified leads into one pipeline.
3. Custom lifecycle workflows with automated follow-ups
We built custom objects and workflows mapped to SLP’s legal matter stages, paired with automated task assignments and reminders for document requests, giving every case a trackable status from intake through settlement.
4. Role-based dashboards and real-time reporting
We set up role-based access and real-time dashboards covering intake volume, case status, and team performance. This gives management a centralized, live view of workload distribution and firm operations.
5. Embedded signing and SMS notifications on the Experience Portal
We implemented embedded document signing directly within SLP’s Experience Portal, removing dependence on email, and added SMS functionality so clients get a signing link by text whenever a document is sent.
6. Enhanced existing Omni-Channel calling in Salesforce
We upgraded and optimized SLP’s existing Omni-Channel calling setup within Salesforce by refining routing, configuring dedicated teams for Settlement, Customer Service, and Intake, and maintaining separate English and Spanish queues. We also enhanced reporting and dashboards to provide real-time visibility into calls attended, missed calls, and agent availability, while automatically saving and linking every call recording to the client’s Opportunity record in Salesforce.
