About the client
Our client is a non-profit organization whose home base is in Austin, Texas, but they’ve also got footprints in New York City and Miami. Most of their work, though, happens in Austin.
The client is working towards giving children a better life and a home to live in and grow up in. Spending years on the ground, learning, understanding, and creating a method that works. It’s a method steered by a passion for creating a difference in children’s lives.
Challenges
The client faced several challenges in managing their programs and data. They had multiple programs running at different locations, involving a large number of people and services. Tracking the data related to these programs, such as the participants, the deliveries, and the packages, was a daunting task. They also had to deal with bulk data capturing, which required a smooth and efficient data entry system. Moreover, they encountered data silos, where different groups of people could not access or share the relevant data easily.
The client also struggled to have a clear and comprehensive overview of each program, as they had to monitor various aspects and outcomes of their work.
In summary, the client was facing the following challenges;

Solutions
We implemented the following solution to overcome the above challenges
for our client;
- Program management: A special module was set up to track individual beneficiaries and their engagement with programs and services. This gave a unified view of their data and supported data-driven decision-making.
- Data tracking: The same module helped track participants’ engagements in programs and record the services they received. This made reporting outputs easier.
- Service delivery trackability: The module allowed the creation of service delivery records in bulk within a single user interface. This made tracking attendance or service receipt at a given point in time quicker and easier.
- Bulk data: The module enabled smooth data entry and provided easy-to-use service data capture elements. It also supported capturing multiple services for a single participant or many for various participants at once.
- Data silos: The module provided Systems of Care and Service to promote collaboration and remove data silos. It also helped the client to move effectively from data tracking to outcomes management.
- Easy overview of the programs: The module provided a program manager homepage which gave an overview of program activity. This made it easier to keep track of each program.
In short, the solution involved setting up a special module that helped manage programs, track data, deliver services, handle bulk data, deal with data silos, and maintain an overview of all programs. This made operations much simpler and more efficient.
